Thursday Exhibitors' Fair

As in past years, one of the central features of the NCPMA Fall Conference is our Exhibitors' Fair. The Fair is held on Thursday (October 1st) in the Imperial Convention Center (different than previous years, see hotel diagram below) from TBA to noon.

From 12:00noon to 1:00pm, lunch will be served in the exhibition room, a good opportunity to sit and talk with potential clients.

After lunch, from 1:00 pm to TBA, exhibitors are encouraged to use the afternoon time block to schedule one-on-one meetings or presentations with potential clients identified during the morning session. (Conference participants are given the option of attending these exhibitor meetings or an issues discussion round table session.)

As in recent years, some form of incentive program will be used to encourage conference participants to visit exhibitors. In response to your feedback from years past, again this year we will NOT have exhibitors distribute stickers (allowing you to devote your attention to potential clients). Participants will be required to get a sticker from a Program Committee representative to show they came to the exhibitors session in order to be eligible for NCPMA-sponsored prize drawings at the banquet Thursday night.

Speaking of prize drawings, as you may know, we have a pretty large prize giveaway at the end of our Thursday night banquet. One thing that makes this event so popular with attendees is the large number of prizes which are given out. Our exhibitors are a large factor in this, and for that we thank you! If your company is interested in donating any prizes for the banquet, random door prizes to be given out at conference sessions, or if you want to hold your own drawing of visitors to your exhibit booth who leave business cards, please contact our Exhibitors Coordinator, Joy Edwards (contact info above), who can arrange to have your items included in the drawings.

Exhibitors should have their booths ready before 10:00am, as morning sessions could run ahead of schedule with the balance of time being available for the Exhibitors' Fair. If you have a specific need to set up on Wednesday night, booth setup time may be available if the room is unoccupied and the hotel has set the room for our event. Booths can be dismantled whenever you are finished with individual or small-group meetings, but should be down by 3:30 pm.

Wireless high speed Internet is available in the ballroom for a small fee charged by the hotel per connecting computer. This service must be arranged with the hotel media center staff and is not included in your exhibitor registration.


Conference Sponsorships

Another way our exhibitors make our annual conference even more successful is through sponsorship. This year, we have changed the way sponsorships are handled compared to previous years. Now, rather than sponsoring a specific session break or other event, all sponsors are sponsors for the whole conference, being recognized in the program, on the website, and on posters at all events. The various levels can also get you additional perks for the conference. At the Platinum level, sponsors have their Exhibitor Registration waived ($300 value), and at the Diamond Level, sponsors receive a deluxe 2-table booth space ($600 value) There are 5 sponsorship levels: Diamond, Platinum, Gold, Silver, and Bronze. Sponsors will be listed in order of the level of sponsorship and higher sponsorship levels will have larger logos on all sponsorship recognition media.

Additional incentive: Exhibitors at the Gold Level and above will receive a number of free display ads in the NCPMA Newsletter, The North Arrow with the number of ads increasing with higher levels. Each year at conference, participants receive one premium souvenir item (in 2006, it was a sweatshirt embroidered with the NCPMA Logo, in 2007 an embroidered stadium blanket.) Sponsors at the Silver Level and above will receive a number of this item (not yet determined) for their employees as an additional perk for their sponsorship. Numbers of the item for each sponsorship level will be determined once the item is chosen.

Sponsors get preferred table placement in the Exhibitors' Fair based on requests. Higher-level sponsors' requests will be given higher preference, but all requests (including non-sponsors) will be accomodated whenever possible.

Hotel Accomodations

The NCPMA has reserved a block of guest rooms at the Sheraton Imperial Hotel and Convention Center (pictured on right) in Research Triangle Park, NC. Guest room reservations are the individual responsibility of conference attendees and exhibitors. To make your reservations, call the hotel directly at (919) 941-5050 or Sheraton Reservations Central at (800) 325-3535 and be sure to identify yourself as an NCPMA conference participant to receive the group rate of $115 per night for single or double occupancy standard accomodations, and $172 for club level. (all rates are exclusive of additional 13% in sales and occupancy taxes)
New for 2009! Make your Fall Conference room reservations online via a Sheraton RTP Group Rooms Reservations Site customized for our NCPMA Group. Rooms will automatically book at the group rate with online reservations, but only if booked through this site.

The group rate will be offered until September 7th. After that date, accomodations will be subject to room and rate availability. It is strongly suggested that you make your room reservations early, as October is the busiest month of the year at this property.
